Terms & Conditions
These terms govern your use of this website and your participation in journeys, retreats and programs operated by Soltale Potential Exploration Pvt Ltd, Flat 8, Puja Apt, S No 95, Plot No 50, Paud Road, Bhusari Colony, Pune City, Pune – 411038, Maharashtra, India (“SoulTales”, “we”, “us”). By using this website or confirming a booking, you accept them.
We’ve written these in plain English on purpose. They are still a contract.

1. How booking works
There is no checkout page. Every journey begins with an invitation request, followed by a conversation – a short call in which we assess fit both ways. We curate every circle by hand and reserve the right to decline a booking, kindly, where we believe a journey isn’t right for a person; where possible we’ll suggest one that is. A seat is confirmed only when (a) we have invited you to confirm, and (b) your deposit is received. Until then, no request, call or correspondence constitutes a booking.
2. Prices and payment
Prices are quoted in Indian Rupees during your call and in your booking confirmation, and cover what the relevant journey page and your Journey Dossier list as included – and nothing else. International flights, visas, travel insurance, meals beyond those listed, alcohol, personal expenses and gratuities are always excluded unless stated otherwise. Payments are made by invoice and bank transfer on the schedule set out in your booking confirmation (typically a deposit on confirmation, with the balance due before departure). Seats unpaid by their due date may be released.
3. If you cancel
Cancellations must be sent in writing to preeti@soultales.in. The following applies to the journey fee, measured in days before the journey’s start date:
- Deposit: non-refundable once your seat is confirmed – it is what secures your place in a circle of twenty.
- Until 90 days before departure: 75% of amounts paid beyond the deposit refunded.
- 89 to 60 days: 50% refunded.
- 59 to 45 days: 25% refunded.
- Within 45 days, or no-show: no refund.
The credit alternative. Instead of a refund, you may choose – once per booking – to convert the amount you would forfeit into credit toward a future SoulTales edition, less any costs already irrecoverably committed to suppliers on your behalf. Credit is valid for 18 months and is not transferable except at our discretion.
Certain editions involving exclusive-use arrangements (such as private camp buyouts) may carry stricter supplier terms; where they do, your booking confirmation will say so explicitly and will prevail over the schedule above.
4. If we cancel or change
Every edition has a minimum circle size. If an edition does not reach it, or if circumstances beyond our control make it unwise to run, we may postpone or cancel it – in which case you choose between a full refund of all amounts paid to us or full credit toward another edition. We are not responsible for other costs you may have incurred (such as flights or visas), which is one reason travel insurance is mandatory. We may make reasonable changes to itineraries, accommodations and inclusions where circumstances require (weather, supplier availability, safety, local conditions); we will always aim to substitute with equivalents and to tell you as early as we can. Weather-dependent experiences (such as desert activities or balloon flights, where offered) are never guaranteed.
5. Health, suitability – and what our journeys are not
SoulTales journeys and retreats are experiential travel programs. They are not therapy, medical treatment, or psychological care, and they are not a substitute for any of these. There are no clinical sessions and nothing you are required to share, perform or disclose to the circle. Our programs are designed with care for participants’ inner experience, and they can be emotionally meaningful – which is precisely why they are not suitable for someone in acute psychological crisis or under treatment that intensive travel could destabilise.
You agree to disclose, during screening and honestly, any physical or mental health condition, medication or limitation relevant to safe participation. We may decline or, in rare cases, discontinue a person’s participation where we reasonably believe a journey is unsuitable or unsafe for them or for the circle; where we discontinue participation for such reasons, refunds are at our reasonable discretion based on recoverable costs. Participation in all activities is voluntary and at your own risk; you are free to sit out any activity.
6. Travel documents and insurance
You are responsible for a valid passport (minimum six months’ validity), visas, and any health requirements of the destination. Comprehensive travel insurance – covering medical care, evacuation, cancellation and personal belongings – is mandatory for all international editions, and we may ask for evidence of it before departure.
7. Filming, photography and your story
Our journeys are documented by our creative team. Films made of you – including any personal story you choose to tell – are private by default: they belong to you, and are delivered to you alone. Nothing identifying you appears in our marketing without your separate, written consent, sought after the journey, never during it. You may decline being filmed at any moment, including on the night, without explanation or consequence. Incidental appearance in wide or atmospheric footage (a circle by firelight, a convoy on a road) may occur; we will always honour a request to be excluded from published material. By participating, you agree not to publish other participants’ personal stories or identifying moments without their consent – the circle’s privacy is mutual.
8. The circle
Our journeys work because of who is in them. You agree to treat fellow explorers, hosts, local communities and traditions with respect. We may remove from a journey, without refund, anyone whose behaviour endangers or persistently degrades the experience of others – a step we have designed everything to never need.
9. Liability
We select our partners – hotels, camps, transport providers, guides and local hosts – with genuine care, but they are independent businesses, and we are not liable for their acts or omissions beyond the amounts we can recover from them. Travel – mountains, deserts, medinas, roads – carries inherent risks that no operator can eliminate; you accept them by choosing to travel. To the maximum extent permitted by law, our total liability in connection with any booking is limited to the amount you paid us for that booking. Nothing in these terms excludes liability that cannot be excluded under Indian law.
10. Force majeure
We are not liable for failure or delay caused by events beyond our reasonable control – including weather, natural disasters, epidemics, strikes, civil unrest, acts of government, or flight disruptions. Where such events affect your journey, Section 4’s choices (refund of recoverable amounts, or credit) apply.
11. This website
Content on this website – text, photographs, films, the names of our journeys and editions — belongs to SoulTales or its licensors and may not be reproduced commercially without permission. We try to keep the site accurate; journey details are, however, finalised only in your booking confirmation and Journey Dossier, which prevail over the website where they differ.
12. Governing law
These terms are governed by the laws of India, and the courts of Pune, Maharashtra have exclusive jurisdiction over any dispute – though we’d rather solve any problem with a conversation first, and we mean that.
